Film Shoots on Campus
All filming on the CalArts campus must be approved before production begins. The approval process varies depending on where you plan to film. Production Services and the Mailroom coordinate all filming activities to prevent scheduling conflicts, ensure safety requirements are met, and avoid multiple productions using the same space at the same time.
Students should obtain all required approvals well in advance of their scheduled shoot.
Film/Video Spaces
To film in spaces managed by the School of Film/Video, complete the appropriate Formstack reservation request and submit it according to Production Services procedures.
All Other Campus Locations
To film anywhere outside of Film/Video-managed spaces, complete an Event Checklist and obtain the required approvals before filming. The completed and signed Event Checklist must be submitted to the Mailroom at least 48 hours before filming begins. The Mailroom cannot approve filming requests that do not include Justin Hogan’s signature.
The Mailroom maintains the Institute’s master event calendar. These procedures help prevent scheduling conflicts, particularly during the busy spring semester when multiple productions may be filming simultaneously.
Required Approvals by Location
School-Specific Spaces
Examples include classrooms, studios, theaters, or other spaces assigned to an individual school.
Required approvals:
- Appropriate School representative

After obtaining both signatures, submit the completed Event Checklist to the Mailroom for final scheduling and approval.
Hallways, Exterior Areas, and Institute-Managed Spaces
Examples include:
- Hallways
- Courtyards
- Exterior walkways
- Parking areas
- Institute-managed common spaces
Required approval:
- Justin Hogan, Production Services
After approval, submit the Event Checklist to the Mailroom for scheduling, Facilities approval (when required), and final authorization.
Residence Halls, Pool, and Pool Area
Filming in or around student housing requires additional approval. Required approvals:
- Justin Hogan, Head of Production Services
- Residence Life
An additional Residence Life form must also be completed.
After all approvals have been obtained, submit the completed paperwork to the Mailroom for final approval.
